Overview:

The Receptionist will manage the front desk, RTP office and facilities maintenance and provide administrative support


Primary Responsibilities: 

  • Answer incoming calls to the organization and respond independently when possible.

  • Order office and kitchen supplies, maintain supply cabinet inventory and keeps supplies organized. Responsible for cleanliness of break area.

  • Assist new hires in terms of getting them settled into new work spaces.

  • Liaise with landlord’s Office Manager, oversee janitorial and maintenance services.

  • Manage maintenance and upkeep of RTP office, in such areas as touch-up painting, carpet cleaning, whiteboard cleaning, repairs, etc.

  • Primary point of contact for shipping, mailing requests.  Checks mail and distributes accordingly.

  • Send correspondence (overnight, mail, fax, etc.) as requested by managers and staff.   

  • Answering company door, greeting guests/visitors.

  • Arrange catering for visitor meetings (customers, suppliers, and/or Board members).

  • Ability to prioritize, organize and manage projects with guidance

  • High degree of discretion and confidentiality

  • Ability to establish and maintain trust and effective working relationships with management and coworkers

  • Initiative to improve the office environment and admin support

  • Expert typing and computer skills in MS Word and PowerPoint, strong proficiency in Excel

 

Education & Experience: 

  • High School diploma or educational equivalent and 2+ years of experience in a receptionist of or administrative assistant role; or equivalent combination of education, training and experience.
